The Challenge

The 2025 edition of Cyberconference was a scale up from 2024, with a marked increase in in-person attendance and the addition of a secondary location at the Westin. For that reason, on-site communication needed to be as streamlined as possible. Specifically, we focused on two challenges:

Scale & Complexity

With six concurrent session rooms (5 Breakouts and 1 Plenary) and a flow of over 1,500 attendees spread over 2 venues, manually printed signage was too static, complex and error-prone. The event required a digital event signs system that could instantly reflect any changes or updates.

Bilingual Requirement

As a fully bilingual conference (French and English), all communication, including room schedules, needed to be instantly accessible in both languages without cluttering the physical space. The digital signage had to integrate seamlessly with the bilingual event platform data.

What we did

EPEAK Studio deployed EventSign, our smart digital signage solution, to transform the conference’s physical wayfinding and communication strategy. Thanks to our easy, centralized management dashboard, we turned the entire venue into one interconnected, dynamically managed communications ecosystem.

Centralized, Dynamic Schedule Integration

We placed EventSign dynamic digital displays outside every session room. Fully integrated with the event management platform, these signs enable:

  • Real-Time Accuracy: Any last-minute session title change, room swap, or time adjustment was immediately reflected on the digital screen. eliminating outdated information.
  • Targeted Wayfinding: Each screen displayed the schedule specific to that room, guiding attendees instantly and reducing staff time spent on directing traffic.

 

Dynamic rotation between languages

As an event hosted in Québec with an international audience, Cyberconference 2025 needs to communicate in both French and English. To solve the bilingual challenge, we took advantage of EventSign’s dynamic display capabilities:

  • Dual-Language Mode: The displays were configured to rotate between French and English schedules, ensuring that every attendee, regardless of their primary language, received up-to-date session information.
  • Confidence in content accuracy: Because the data was pulled directly from the single source of truth (ProjectSheet.io, your event management solution), organizers were confident that the French and English versions were always synchronized.

 

Enhanced Sponsor and Event Visibility

Beyond schedules, EventSign provided a dynamic platform for general event communication:

  • Monetization: Dynamic slots were utilized to run sponsor messages and logos, ensuring high-impact visibility for partners throughout the high-traffic areas.

Results
